1. What we collect
- Account data — your email address, and the institution inferred from its domain.
- Job data — the parameters you submit, job status and timing, and the generated output.
- Payment data — records of amounts and outcomes. Card details are handled by Stripe and never reach our systems.
- Operational data — sign-in events, downloads, and administrative actions, recorded for security and audit.
2. How long we keep it
- Output files are downloadable for up to 60 days after a job completes. The first download shortens that window to 7 days from that download, after which the file is deleted from storage.
- Job and payment records are kept indefinitely. They are what allows a past charge, refund or acceptance to be answered years later, and financial records carry their own statutory retention requirements.
- Support tickets are kept for as long as needed to handle the request and any follow-up.
3. Who processes data on our behalf
- Stripe — payments.
- Amazon Web Services — hosting and file storage.
- Resend — outbound email.
4. Administrative access
Support staff can see a job's settings and status. They cannot open its output file unless you grant access for that specific job, which you can withdraw at any time from the job page.
5. Your rights
You may request access to the personal data we hold about you, ask for corrections, or ask us to delete data we are not required to retain. Contact support to make a request.
6. Changes to this policy
This policy is versioned, and the version in force when you submit a job is recorded against that job.
